Job Title: Executive Assistant to President/CEO

Reports to: President and CEO

Status: Full Time

Salary Range: $50,000-$57,000

Work Location: Broward County (On Site)

OIC of South Florida is a community-based leader in providing quality self-help skills and employment opportunities for disadvantaged and underemployed residents, helping them become self-sufficient and productive members of society. Our work is accomplished through three divisions: Workforce Development, Youth and Family Services and OIC Strategic Integration (Social Enterprise).

 

Position Summary:

This is a full-time position reporting directly to the President and CEO. The position requires a high level of professionalism, organizational skills, business skills, experience and education to help promote and maintain the growth and positive image of OIC of South Florida in the local community and beyond. The ideal candidate will be experienced in handling a wide range of administrative and communications support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people and programs.

 

Essential Duties and Requirements: 

  • Schedule appointments and teleconferences, and handle changes or delays.
  • Write, edit, and proofread letters, proposals, reports, and other documents.
  • Provide a broad-spectrum of clerical support including copying, scanning, and processing incoming and outgoing mail and packages.
  • Organize electronic and paper files.
  • Coordinate travel plans, maintain mileage logs, and accurately prepare travel reports.
  • Answer phones, greet clients, and work with outside vendors.
  • Review existing processes and develop improvements/solutions.
  • Assist with confidential paperwork and sensitive issues.
  • Assist in developing and maintaining updates to the organizations policies and procedures.
  • Arrange, participate in, and implement as directed: management meetings, Board meetings, conferences and committee meetings as requested by the President & CEO.
  • Record minutes of all meetings as requested by the Executive Office.
  • Maintain cooperative working relationships and interact with executives, internal staff, community groups, professional groups, civic organizations.
  • Assist with the compilation of data required for grant proposal (RFP) submissions, collating and preparing all items and documents for final grant submission.
  • Conduct independent research and follow through to identify and track down missing information, including critically thinking through problems from different vantage points and reaching appropriate conclusions.
  • Perform other duties and provide backup and assistance to other administrative staff as assigned by the President & CEO.

 

Requirements:

  • This position requires a consummate professional who possesses a strong intellect, sound judgment, an eye for detail, and superior interpersonal, communications, and project management skills.
  • Excellent writing, editing, and typing skills.
  • Proficiency in fundamental office software programs including Word, Excel, and Adobe Acrobat; as well as experience with PowerPoint, photo editing, online database Visio and Outlook.
  • Outstanding interpersonal skills and the ability to handle sensitive, difficult and confidential situations.
  • Attention to detail – with the ability to develop high quality work product within required deadlines and with limited oversight.
  • Personal Responsibility – Possessing the qualities of a self-starter, willing to interact as part of a team, take independent initiative and work proactively in solving problems.
  • Professionalism – Possessing a high degree of integrity, reliability, diplomacy, and flexibility.
  • Effective Communication Skills – Possessing the ability to clearly convey information; both orally and in writing (composition, proofreading, and spelling).
  • Energy and Enthusiasm – Possessing the ability to maintain consistently high levels of activity and productivity.
  • This position may require occasional independent travel between local venues. Must maintain valid DL and insurance coverage on personal vehicle at all times during employment.
  • Performing the duties of this position requires the ability to walk, sit, stand, reach, talk, hear and lift presentation materials, including equipment.
